We are currently looking for a friendly, organized, and dedicated Veterinary Receptionist (Client Care Representative) to join our front desk team!
Position Overview:
As a Veterinary Receptionist, you will be the first point of contact for clients, ensuring that every visit to our clinic is a positive and smooth experience, even during difficult situations. You will handle a variety of administrative tasks while maintaining a calm,
professional, and friendly demeanor. The ideal candidate will be a people person with excellent communication skills, multitasking ability, and a love for animals.
Key Responsibilities:
- Greet clients and their pets with a warm, friendly attitude and provide exceptional customer service.
- Relay messages in a timely and professional manner, this includes answering client questions, with consultation with a Registered Vet Technician.
- Answer phone calls, schedule appointments, and manage patient intake and discharge.
- Explain fees and charges to clients in a clear and transparent manner.
- Ensure the waiting area is clean, comfortable, and organized for clients and their pets.
- Inform and assist clients with financing and insurance options.
- Process client payments, including invoicing, billing, and insurance submissions.
- Maintain accurate and up-to-date client and pet records in the practice management system.
- Ensure compliance with clinic policies, procedures, and confidentiality standards.
Qualifications:
- Previous experience in a veterinary or customer service environment is preferred but not required.
- Excellent communication skills, both in person and on the phone.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Ability to remain calm and composed in a fast-paced or high-pressure environment.
- Strong attention to detail and ability to maintain accurate records.
- Ability to handle sensitive or emotional situations with empathy and professionalism.
- High school diploma or equivalent; additional education or certifications are an asset.
